Warehouse and Facilities Coordinator





Office Gems is facilitating the recruitment of a Warehouse and Facilities Coordinator for Pharmaco Industries Limited.

The Warehouse and Facilities Coordinator is responsible for overseeing all aspects of warehouse operations, including warehouse management, building and grounds maintenance, fleet management, stock management, incoming and outgoing deliveries, and staff management.


RESPONSIBILITIES
Warehouse Management:

  1. Maintain receiving, warehousing, packaging, and distribution operations by initiating, coordinating, and enforcing program, operational, and personnel policies and procedures.
  2. Coordinate and monitor the receipt, storage, packaging, and dispatch of goods.
  3. Maintain the physical condition of the storeroom by ensuring appropriate and efficient packing and storage of goods. Rotate stock using the First in First Out (FIFO) system.
  4. Manage and control storeroom equipment, ensuring safekeeping and timely servicing to prevent downtime.
  5. Maintain and control stock control systems, ensuring timely and accurate records are maintained and updated.
  6. Produce reports on a daily, weekly, and monthly basis and assist in ordering.
  7. Update logs and documentation for inventory processing.
  8. Prepare documentation and inventory for audits.


Building and Grounds Maintenance:

  1. Coordinate the service providers for arranging the maintenance of the company’s buildings and grounds, including, roofing, air conditioning, plumbing, physical infrastructure, landscape maintenance etc.
  2. Ensure standards of health and safety, hygiene in the work environment, and adherence to safety protocols and procedures.


Fleet Management:

  1. Coordinate the service providers for arranging the maintenance, repairs and general upkeep of the company’s vehicle fleet.
  2. Manage the removal or loading of inventory from delivery vehicles or shipping deliveries and have it stored or delivered in the proper location.


Stock Management:

  1. Control inventory levels by coordinating physical counts reconciling with the data storage system. Process orders to prevent stockouts and administer stock control.
  2. Maintain and control stock control systems, ensuring timely and accurate records are maintained and updated.


Incoming and Outgoing Deliveries:

  1. Safeguard storeroom operations and contents by enforcing and monitoring security procedures and protocols.
  2. Report damaged or missing inventory to the Director and conduct investigations as required.


Staff Management:

  1. Support Executive Management in providing oversight and direction to subordinates in accordance with the organization's policies and procedures.
  2. Coach, mentor, and develop subordinates. Empower subordinates to take responsibility for their jobs and goals by delegating responsibility, encouraging accountability, and seeking regular feedback.
  3. Foster a spirit of teamwork and unity among department members.


Requirements:

  1. Tertiary level qualifications in Management, Operations Management, Warehouse/ Inventory Management, or a related field.
  2. Minimum five (5) years' experience in a similar position.
  3. Previous supervisory experience required.
  4. Proficient with Microsoft Office applications.
  5. Awareness of Inventory Management software/applications.
